Introduction
IGS has meeting rooms that are equipped with up-to-date equipment to make any meeting successful. This
document will explain how to use the equipment for an effective meeting.
Camera, Microphone & Speakers
To use the Camera, Microphone, and Speakers mounted above the video display you will first need a USB-A to USB-B cable.
Note: USB and HDMI cables for use in Meeting Rooms can be checked out at the IGS Tech Zone.
- Once you have the cable, connect the USB-A side of the cable into your laptop. (This is the standard rectangular USB port).
- The USB-B end of the cable (Square end with 2 flattened corners) will be plugged into the wallmounted outlet below the video display. *
- Once connected, the camera, microphone, and speakers should be detected by your PC. **
* You cannot connect to this camera system using a USB-A to USB-A cable. The USB-A port mounted in the wall is for displaying data from a USB device (i.e., USB thumb drive, portable hard drive).
** If your PC does not auto-select the recently plugged-in devices, you can set them as your device of choice in whichever application you are using. For example, in Teams they will show up as follows:
- For the Audio Device, you will select Polycom Studio Audio (This will setup both the Microphone and the Speakers to the proper device).
- For the Camera, you will select Polycom Studio Video.
Video Display
There are 2 methods to connect to the in-room video display: via HDMI cable or wirelessly using the instructions on the display (HDMI is the preferred method if you are viewing a live conference call or video, as it has the least delay).
Note: If the Video Display is set to Whiteboard mode, you will have to switch it to the presenting input on the Video Display itself. On the Video Display, which is a Touch screen, click on the Arrow at the top of the screen, then Select PC on the import tab, then Select HDMI.
Method 1 – HDMI (Full Screen Share)
- Connect your PC via HDMI cable to the wall mounted HDMI port below the video display.
- It will be detected by your PC as another display device and should duplicate your main desktop to the video display by default.
Note: If the display is black, please check your PC display settings to confirm if the display is activated and set to Duplicate (This is done differently depending on your equipment and software).
Method 2 – Wireless Connect (Full Screen Share or Specific Window/App)
- To connect wirelessly, follow the instructions on the video display to download the Mersive Solstice App. If you already have the App installed move to the next step.
- Launch the App and find the screen you are trying to connect to by searching for the name (displayed on the top left corner of the screen, ex. IGS512A-WAVPOD) or by typing in the IP address (EX. 10.114.245.255) displayed on the screen into the same search field.
- Once the screen is selected, you will be prompted to enter the 4-digit code that is on the display.
- Once the app is connected, you will have the option to share your full screen or a specific Window/Application.
